Privacy notice

This notice explains what BevPro AI LLC ("BevPro", "we") collects when you use the portal at app.bevproai.com, portal.bevproai.com and admin.bevproai.com, why, and who sees it.
1. What we collect
About you: your name, work e-mail address and password (stored only as a hash), and, if you set them up, a passkey or an authenticator app.
About your organisation: for a venue, its name, type, address, county, phone number and the distributors it buys from with the account number and the sales rep's e-mail address; for a distributor, its name, warehouse address, counties served, e-mail domains and team.
What you do in the portal: what you search for, which products you open, what you put in an order guide or a cart, and the orders you send or receive, with their date and content.
Technical: your IP address, browser and the pages you request, in ordinary server logs, and a session cookie that keeps you signed in.
We do not collect payment details. There is no advertising, and no third-party tracking.
2. Why
To run the portal: to show a venue the catalogue and its own prices, to send its orders to its distributors, to show a distributor the orders sent to it and how its products are found, and to keep the service working and safe. Search and order activity is also used in aggregate, without identifying a venue, to improve the catalogue and the service and to give distributors statistics on their own products.
3. Who sees it
- Your organisation's own team, according to the roles its owner or administrator sets.
- The distributor you send an order to receives that order by e-mail and sees it in the portal: your venue's name, address and account number, the name and e-mail address of the person who sent it, and the lines and any note. It also sees, in aggregate, how often its own products are searched for and opened. It does not see your other distributors' orders.
- BevPro staff can see your account and your organisation's data to support you and to run the service. When a staff member acts on your account it is recorded.
- Service providers that host the portal and deliver its e-mail, under contract, only to the extent needed to provide that service.
We do not sell personal information, and we do not share it with anyone else unless the law requires it.
4. How long
While your organisation's account is open. Orders are kept for as long as the law requires purchase records to be kept. Server logs are kept for a short period for security and troubleshooting and then deleted.
5. Your choices
You can change your name, password, passkeys and authenticator app in your account settings. You can ask us to correct or delete personal information about you, and we will do so unless we have to keep it. Deleting your login does not delete your organisation's orders, which belong to the organisation.
6. Security
The portal is served over HTTPS only. Passwords are hashed, invitation links are single-use and expire, and every request is checked against your organisation's membership. No system is perfectly secure; tell us at once if you think your account has been misused.
7. Changes and contact
We may update this notice; the date at the top tells you when. Questions about it go to BevPro AI LLC through the contact details you were given when your account was set up.
